Publishing Offical Web Pages for Departments or Student Organizations


Departmental Responsibilities

Departments or individual faculty, staff and student organizations are responsible for creating and maintaining their own information, responding to inquiries about the information, and updating that information as necessary. It's recommended that each department or unit assign one person as its departmental Web coordinator to coordinate that department's electronic publishing effort.

Faculty members are encouraged to develop professional pages on URI Web server and link them through departmental Websites.

Student organizations, with proper authorization, can publish Web pages that can be linked from the URI's  Registered Student Organizations home page.

1.   Request a Web Publishing Account
a. Print and fill out the Web Publishing Account Application. Have your department chair sign it.

b. Mail or drop off (Do NOT fax) form to
University Webmaster, 048 Tyler Hall, University of Rhode Island, Kingston, RI 02881-0803.

You will be notified by email once your account is created.

Note: Student organizations need authorization from their faculty/staff advisor requesting the Web page. This provides us with a University employee contact person in the event the student maintaining the pages leaves the University.

2.    Create Web Pages
Review the Campus Web Design Guidelines before you start any hands-on HTML work.

Download the URI Web Department Template and customize it to create your Web pages.

You may use Web page editors such as Microsoft FrontPage or  Adobe Pagemill to help you create your Web pages.

You can get help with HTML or use the newsgroup webmaster.uri.edu/forum to post Web-related questions.

Save your default home page as index.html

Please test your trial pages on your desktop machine with a web browser, by using the File, Open File menu option in Netscape for Windows or Macintosh.

3.   Upload Web Pages With FTP/Fetch

If you do not have FTP or Fetch software installed on your machine, go to URI FTP Software Archive to download a free copy.

Once you login in to the Web server using your assigned login and password, you will be taken to your department's home directory on the Web server.  You will see a list of existing files and folders if your department already has Web pages on the server. Your directory will be empty if your department has never put up any Web pages before.

4.  Disk Quota
As of June 2001, disk quotas are in effect.  Each Web account on the central Web server will be allocated 20MB of default disk space.  If you have a legitimate need, you can request a higher quota by filling out a quota increase request form

5. Test and Backup Web Pages
To test your Web pages live, open your Web browser.   Type in the address field the URL of your departmental Website.  Your departmental Web address usually fits one of the two formats below:

http://www.uri.edu/dept_aliase/
(e.g., for Office of Registrar, http://www.uri.edu/registrar/) or

http://www.uri.edu/college_aliase/dept_aliase/
(e.g., for Department of Geology, http://www.uri.edu/cels/gel/)

If you have problems with your files or images, you can fix them on your desktop machine and re-upload them to theWeb server. As a precautionary measure, you should backup all your original HTML files and images on your desktop machine before you upload new files. This way if there is a problem, you can back out to your original files or images.

6.   Request a Website Review/Link
All new and significantly reconstructed departmental Web pages need to request a Web site review by the campus Web Policy Group before they are approved for links to the main university Website.
7.   Other Issues to Consider

Telnet Not Supported

The new Pro-FTP interface supports only FTP client to connect to the Web server.  You will not be able to telnet to the Web server.

Name Your Departmental  Home Page: index.html

Most Unix-based HTTP Web servers are configured to look for a default file named index.html in each directory they serve. Such a file can be accessed without specifying the filename in the URL. Instead, only the server name and path is required. If you name your department home page  index.html, users can access that page using the URL. 

http://www.uri.edu/dept_aliases/

This method helps users remember your department Web address easily.  If your department Website already has a different name for its home page, you can rename it using an ftp client software such as Ws-ftp or Fetch.

Running Custom CGI Scripts

A CGI script is a program that can run on the Web server in response to a request from a user. It's often used to process online forms and adds various levels of interactivity to your Web pages.  Unfortunately, CGI applications can pose a security risk to the machine they are running on, and always add to the computing load of that machine. For these reasons, user-supplied CGI applications are NOT allowed on the URI Web server.

Departmental units and registered student organizations with Web accounts on URI central Web server: www.uri.edu may use a Forms-to-Email CGI Program that will email the information from a Web form to a user-defined email address.  Here is a list of CGI programs provided on URI Web server.
