Position Description
TITLE: Assistant Director, Alumni Relations
DIVISION: Development and Alumni Relations
REPORTS TO: Executive Director of Alumni Relations/Secretary of Alumni Association
GRADE: 12
SUPERVISES: Specialists and Support Staff
BASIC FUNCTION:
Create, coordinate, and implement all Alumni Relations programs, special events, and outreach programs. Supervise Specialist(s) and all alumni programming. Review and approve time cards of Specialist(s) and approve vacation time.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Create short/long range plans for Association special events and fundraising activities under his/her supervision.
Plan, coordinate, and implement one or more of the Alumni Relations major special events annually. May include, but is not limited to Homecoming, Winter Gala, Golf Tournament, Family Camp, Young Alumni programming and Reunions.
Plan, coordinate, and implement special outreach and regional programs. May include alumni chapters, athletic outreach, affinity reunions, outreach to the colleges and career mentor network.
Research, develop, and implement programming (social, cultural, educational) related to generational segments of the alumni population.
Coordinate and/or create direct mail marketing and publicity mail pieces for mailings to over 87,000 alumni for all major special events and outreach programs. May work individually or with the Publications staff on design and production.
Serve as the chairperson of one or more volunteer planning committees. Develop meeting agendas, conduct meetings, generate minutes, and ensure follow through of action items assigned at meetings.
Serve as active member on University committees.
At the direction of the Executive Director, develop proposals for member benefit and revenue generating programs, which might potentially be either managed or sponsored by the Association.
Create and oversee the production and distribution of promotional and communication vehicles for special events and fundraising activities under his/her supervision.
Develop, manage and maintain budgets for all activities directly under his/her control and monitor revenue and expense outcome for all relevant activities.
At the discretion of the Executive Director, act as Association representative at Association sponsored or managed events.
Serve as primary liaison to public and general alumni population; assist with inquiries regarding special events and programs.
Research and facilitate the successful planning and implementation of new trends in programming for connecting with the URI alumni population.
Maintain, research, and implement revenue generating programs; may include: the membership program, brick program and travel program.
Travel to local, regional, and national alumni outreach and special events; may include alumni chapter events, athletic receptions and games, conferences, other events as necessary.
Develop scripts and talking points for speakers at outreach and special events.
Speak to alumni in attendance at chapter, athletic, and outreach events as necessary.
Represent the Executive Director of Alumni Relations at meetings, on or off campus on his/her behalf.
OTHER DUTIES AND RESPONSIBILITIES:
Perform other duties as assigned.
LICENSES, TOOLS AND EQUIPMENT:
Personal computers, including word processing, database management and spreadsheet software.
ENVIRONMENTAL CONDITIONS:
This position is not substantially exposed to adverse environmental conditions.
QUALIFICATIONS:
Bachelor's degree required. Minimum of three years of previous experience in non-profit or higher education administration required, with track record of handling major special events required. Must be able to work effectively with volunteer groups. Must be self-motivated, have strong communication skills (both written and oral), excellent organizational abilities and interpersonal skills, and demonstrated supervisory experience. Must be able to effectively manage multiple tasks and projects concurrently and efficiently. Must have proven track record of being team-oriented, and be able to relate to and communicate with a wide variety of constituencies including, but not limited to, management, faculty, volunteer groups, support staff and students. Must have experience with excel, word, database management, and spreadsheet software.
