TITLE: Coordinator, EEO Compliance & Diversity

BASIC FUNCTION:
Assist in the development, implementation, and monitoring of the University’s affirmative action/equal opportunity employment programs in compliance with all federal and state affirmative and equal opportunity laws and regulations. Oversee the compilation of statistical data for inclusion in the State and Federal affirmative action plans, compliance reviews and progress reports. Work closely with the Office of Human Resource Administration to resolve issues related to the recruitment process, and coordinate the AAEOD Office’s participation and training with regard to the University’s non-classified search procedures and recruitment process.
ESSENTIAL DUTIES
AND RESPONSIBILITIES:
Coordinate and monitor the day-to-day operation of the University’s search and selection process for non-classified staff and faculty positions to ensure compliance with affirmative action and equal opportunity policies, procedures and regulations.
Assist in the review of requests for external search waivers of the affirmative action search process, and make decision in consultation with the Director.
Review the non-classified search procedure forms ---- i.e., the Job Requisition Form (advertising and search plan), the Applicant Listing (intent to interview), and the Request to Hire Form ---- for compliance, content and accuracy.
In consultation with the Director, make recommendations for revision of qualifications (from an AA/EEO viewpoint), changes to the search plan, inclusion/exclusion of proposed interviewees, and final candidate selection.
Provide assistance in the revision of the search plans by working closely with search chairs, deans, directors and Human Resource personnel.
Provide advocacy for interview and hire of candidates from
under-represented groups in accordance with the University’s Strategic Plan
Diversity Initiative.
In accordance with the University’s Strategic Plan Diversity Initiative, coordinate
and oversee the outreach/recruitment efforts of agencies representing
candidates from under-represented groups.
Serve as the contact person within the AAEOD Office regarding inquiries and/or concerns related to the non-classified search and selection process and provide campus-wide counsel.
Ensure that the AAEEO Non-Classified Search Procedures Guidelines manual is updated as necessary, and interpret the guidelines to employees campus-wide.
Troubleshoot and resolve issues that may arise at any point during the search and selection process.
Review USP-2 Forms for new hires, promotions (as a result of a search), and extensions for positions where waivers of posting/advertising were granted.
In coordination with the Office of Human Resource Administration, provide campus-wide training workshops with regard to the non-classified search and selection process.
In consultation with the Director, coordinate meetings with search committees and other University personnel regarding issues related to the non-classified search and selection process.
Coordinate and oversee the compilation of statistical reporting requirements for the Federal and State Affirmative Action Plans and the semi-annual progress report, including, but not limited to, employment activity, hiring and retention rates, applicant flow, workforce/job group analysis and training participation.
Assist in compiling data for various projects, reports, compliance reviews and audits pertaining to all facets of the University’s affirmative action program. Gather and interpret data requested by persons or groups either on- or off- campus.
Coordinate and supervise the work of support staff with regard to the search process and statistical reporting requirements.
Oversee support staff in the accurate maintenance of the PeopleSoft data entry process and the maintenance of the database tracking system for all the searches.
OTHER DUTIES AND RESPONSIBILITIES:
As necessary, keep the Director informed regarding various issues/concerns relating to employment issues.
Manage the AAEOD Office in the absence of the Director and Assistant Director, including full signature authority.
When necessary, provide coverage for the Director or Assistant Director, and represent the Office at various meetings and events.
In conjunction with the Director, serve as liaison between the University’s AAEOD Office and State and Federal reporting agencies.
Upon receipt of hiring forms (RP-5) for classified positions, notify the Director of potential inequities.
Perform additional duties and related tasks within the AAEOD Office as assigned by the Director.
LICENSES, TOOLS AND EQUIPMENT:
Personal computer, printer, calculator; word processing database management and spreadsheet software.
ENVIRONMENTAL CONDITIONS:
The incumbent is not substantially exposed to adverse environmental conditions.
QUALIFICATIONS:
Required: Bachelor’s degree and at least 2-3 years of progressively responsible work experience with equal employment opportunity and/or affirmative action programs, or in a human resource environment; demonstrated ability to monitor the application of AA/EEO laws and regulations; ability to analyze and utilize various data sources, such as detailed studies and reports, and to effectively prepare and present findings (including in required federal and state reports), and to make recommendations; demonstrated ability to communicate effectively verbally and in writing; demonstrated ability to work in a highly confidential environment and to work with a culturally-diverse population; basic computer skills; demonstrated ability to organize, coordinate and supervise support staff. Preferred: Experience with PeopleSoft, Oracle, Banner or similar software.
