New Employee Information

 

Welcome

Below is information to assist you as you join the University of Rhode Island community.

You will be receiving an Onboarding packet via email as soon as your department notifies Human Resources of your appointment. Your packet will contain required personnel and benefits forms with instructions for completion.

Also in the packet will be either a Non-classified Welcome memo or a Classified Welcome memo to assist you in completing your forms and making your decisions regarding your benefits.

If you are being hired in either a non-classified position (faculty,  professional,  and executive / administrative staff; research staff) or a Classified position (civil service positions including service, maintenance, dining, clerical, nurses,  technical/para-professional) and have questions, please contact one of the following Human Resource Representatives:

Required Employment Personnel Forms:

These forms will be included in your new hire packet

  • USP 17 (for Non-Classified employees only)
  • I-9 Form: You will be required to provide proof of legal authorization to work in the U.S. through the forms of identification as outline in the List of Acceptable Documents. Please note that paychecks cannot be processed if an I-9 form is not completed.
  • Direct Deposit Form
  • Drug Free Work Places Policy Acknowledgement
  • Bar of Claims Forms
  • RI W-4 Form 2024
  • Federal W 4 Form 2024
  • CS-14 State of RI Application (Classified employees only)
  • Criminal Background Verification – HireRight 
    URI has partnered with HireRight to conduct national pre-employment background screening for all new hires. New employees will receive an e-mail from Human Resources instructing them to sign in and provide pertinent information in order for HireRight to conduct a national background check. (The sign-on and password information will be provided in the e-mail.) Once the new employee has signed on and provided the required information, HireRight will complete the background investigation and report back to Human Resources.  Employment is not final until Human Resources receives and approves a review of the background check.

Registering on eCampus, creating your User ID/email address and Single Sign on:

All employees are required to sign in to e-Campus. e-Campus is where you will enter your time card. The User ID you create here will be the beginning of your URI email address.

Please follow these step by step instructions to get started with your URI eCampus login, email address and single sign on.

Employee Photo Identification Card:

You may obtain an Employee Photo Identification Card from the ID & Dining office, room 216, in the Memorial Union upon Human Resources’ receipt of your approved appointment form. 

PayStub RI Registration

To view your direct deposit advice and to keep up to date on important payroll messages, you will need to register on PayStub RI once your direct deposit has taken effect.
Click on Paystub RI Registration for the step by step instructions to register. 

Please note that you must wait until you receive your first direct deposit before you can register on PayStub RI. To register on PayStub RI, you will need your state ID # which can be located on the paper paycheck you received.

Social Security Card:

Need a Social Security card or change your name on your existing one?
A representative from Social Security Administration is available at the
Oliver Stedman Government Center in Wakefield (Rm 109) the 2nd and 4th Thursday from 8:30am to 2:00pm or visit www.socialsecurity.gov/ssnumber/.

Benefits at a glance:

Classified Benefits at a Glass for positions that fall under the State of RI competitive civil service system – primarily include the University’s service/ maintenance/ dining positions, clerical/fiscal support positions, nurses, and various technical / para-professional positions. The University in many instances must give preference to civil service candidates on a certified list or qualified union members with seniority.

Enroll in Employee Benefits within 31 days of appointment:

After you receive your new hire packet containing the personnel and benefit forms, you should complete the forms and call one of the personnel representatives listed above for an appointment. Both a personnel and benefits representative will review your forms with you at your scheduled appointment.
Additional benefits information can be found on the Office of Human Resource website under the Benefits page. 

Workplace Harassment Prevention Training:

All new employees are required to complete the “Prevent Discrimination and Harassment Together” United Educators training module before employment, or during their first 30 days of employment.  This should take no more than 60 minutes to complete, which can be taken during the normal workday. 

To begin the United Educators training module, please follow these steps:

  1. Go to https://learn.ue.org/262T3188319/URIEmployee
  2. Complete the Registration form.
    a.  Enter your first name, last name, and e-mail address and click Register
    b.  You will receive a welcome e-mail with your username and a temporary password.
    c.  Follow the link in the e-mail to sign on.
    d.  You will be prompted to:
          i.   Enter your temporary password
          ii.  Create a new password

Please don’t forget to download the Certificate of Completion at the end of the training module.  You should provide this to Human Resources to be included in your personnel file. Please email this certificate to Kayla Lombardi at kayla_lombardi@uri.edu.

In addition to the United Educations training, during your first month of employment you will receive emails inviting you to complete the “security Awareness Training” and Preventing Sexual Violence Training.”
Both trainings will be sent to your URI email address, and require completion in the 30 days after receipt of the training.

Injury on the Job

Be sure to notify your supervisor of any injury/incident.

In addition, a State of Rhode Island Injury Report must be completed by both you and your supervisor and sent to Human Resources as quickly as possible so that you can get the care that you may need.
