Geographic Information System (GIS) Software Site License Application: No. 26, June 2011

Information Technology Services has an annual site license with the Environmental System Research Institute, Inc. (ESRI) to support teaching and research at the University. The site license contract number is 95S1552; the customer number is 000085.

1. The Software


ArcGIS is a geographic information system (for computers running Microsoft Windows) which integrates hardware, software, and data for capturing, managing, analyzing, and displaying all forms of geographically referenced information. GIS allows you to view, understand, question, interpret, and visualize data in many ways that reveal relationships, patterns, and trends in the form of maps, globes, reports, and charts.


ArcGIS 10.1 Desktop is available in three licensing levels:

  • ArcView (least number of features)
  • ArcEditor (moderate number of features)
  • ArcInfo (greatest number of features)

URI offers the ArcView, ArcEditor, and ArcInfo product levels. ArcInfo has the most features; ArcView offers the least number of features. 


ArcView and ArcEditor are single-use licensed products that require authorization codes. 


ArcInfo is a concurrent-use or floating license product that requires a license server program which manages one or more floating client-access licenses using a hardware key and license file containing encrypted keycodes. ArcInfo is currently used in the College of Environmental and Life Sciences as well as the Graduate School of Oceanography.


2. Eligibility and Software Fees


Full-time faculty and staff may purchase site-licensed software for University-owned computers located on campus through the ITS Help Desk, URI Library, LL19*; the fee is listed with each software package below. The purpose of the fee is to distribute the cost of the annual $25,000+ site license. At present, the expense is shared equally by ITS, the College of the Environment and Life Sciences (CELS), and the Environmental Data Center. 

All software requires a keycode and, where specified, a hardware key; call the ESRI Boston Support Office at 978-777-4543 to confirm that a hardware key is required for your software. ITS will provide you with yearly renewal information, keycodes, authorization files, and updates.

ArcGIS - ArcInfo Edition 

Licensed for concurrent use. 

Requires a license server program that manages one or more floating client-access licenses using a hardware key and license file with encrypted keycodes. The license server can run on the same platform as ArcGIS. 

$800 for the first license

$200 for each additional license 


ArcGIS - ArcEditor Edition 

$500 per machine

ArcGIS - ArcView Edition

$150 per machine


3. System Requirements

4. What You Need To Do: 


Select your software

  • Consult the ESRI Website or call the ESRI Boston office at 978-777-4543 for guidance

Obtain a PC

  • determine minimum requirements. Consult the ESRI Website or call the ESRI Boston office for specifications

Purchase a hardware key, if needed

  • From the ESRI Boston office*

Purchase keycode files and authorization codes

  • From ITS Help Desk, Library LL19*

Pick up software

  • From ITS Help Desk, Library LL19*
  • See 5. Obtaining Software and Keycode/Authorization Files below

Install License Manager

5. Obtaining Software and Keycode/Authorization Files


Fill out the online purchase form

  • Make sure all fields are filled in.
  • Print the form first!
  • Then Submit it.
  • Sign the hardcopy; you will need it when you pick up the software.

Required information for online form: 


Name, department, telephone, email address

Software type; can choose multiple items

Payment type, amount, College Req#, or check#

Need installation CD, keycode (for Arc/Info), authorization file (for single use ArcView); can choose multiple items

URI Property Tag number of machine on which software will reside


Required information for digital keycode:


Host name of machine

Hardware key ID number imprinted on key (if key is necessary)

Number of concurrent users desired

Make/Model of Windows machine

Serial number of machine operating system



Personal Check Payment:

Payable to University of Rhode Island 

The ITS Help Desk will contact you when your submitted form is received.



College Requisition Payment:

Make out to: MTS/ITS 

The Help Desk will contact you when College Requisition has been processed.

The form needs to be filled out and submitted for each workstation licensed. 



Pickup from ITS Help Desk, URI Library, LL19
Bring your signed copy of the online form; you will receive:

  • CD containing the software; return CD within 3 business days.
  • Digital keycode or authorization code for installation.
  • Annual renewal code; to continue using the software, you will need to apply and pay for the renewal code annually.


6. Getting Help

If you cannot find the help you need there, send a request for technical support to the ITS Help Desk at helpdesk@uri.edu*; please include:

  • your computer's specifications
  • the name and version of your software 
  • a detailed explanation of your problem

After confirming that your software license(s) is up-to-date, he will forward your request to ESRI and act as ombudsman per URI's agreement with ESRI.
