ADDING CAT DATE TO ORDER RECORDS
When a book is ordered in the III system (Status o in Order record), a note
displays to patrons:
"1 copy on order for URI."
When the book arrives and is paid for (status a in Order record), a note
displays to patrons:
"1 copy in process for URI."
When the book is cataloged, the "1 copy in process" note displays until a
date is entered in the "cat date" field in the Order record (field 03). If the
cat date is not entered at the time of cataloging, create a list on a regular basis (e.g.
once per month) to identify order records with no cat date, and enter a date through the
"Rapid update" function.
Directions for creating a list of order records with no cat date:
- Choose an open list.
- Create an ORDER list, with the following parameters:
- Ord type (15) = f (firm) AND
- Location (02) H (has) riu AND
- Rdate (17) W (between) 06-30-95 & (use 1 month prior to todays date) AND
- Cdate (03) L (less than) 01-01-92 AND
- Change to BIB record
- Bib lvl (05) = m AND
- Bcode3 (07) = - (dash)
- Search for a range of order records: [\] Starting record # .o1698060
<return> <return>
- Start search. Label file: URI cat date/order recs date initials.
- When the search is complete, review a few records on the screen to verify that your
search was performed correctly and gained the desired results.
Directions for adding cat date to Order records in Rapid update:
G. After the file is reviewed, go to Ordering and Receiving menu. Choose R> Rapid
updating.
- O = Order records
- No = receive ordered items?
- Yes = use a review file?
- Find your review file; enter file number
- At 0001 Rec #: .oxxxxxxx New data: enter 03 [cat date] (last date of period covered).
H. III enters the cat date in all the records in the file. Verify that cat date was
entered correctly; then delete your review file.
