NEW TITLES AND TITLE CHANGES: CPR PROCEDURES

I. NEW TITLES

  1. Classified librarian sends new title (one or more issues) to CPR with a note: NEW TITLE .Cnnnnnnn (Checkin record number).
  2. Search HELIN to find the complete record for the new title. Determine full title and call number.
  3. Verify that there is a checkin record with a checkin card. Check in all issues as appropriate.
  4. Create a shelf label: Use kardex cards for the shelf label. Type call number and full title in CAPS on the bottom of the kardex card in the format below:

    A55

    Space call number and title so they are centered and readable in the shelf label .

    If the title is not to be bound (Keep 2 years or 6 months, etc. only); or, Do Not Bind (microfilm title) type this below the title, as below:

    AP4 FULL TITLE OF JOURNAL HG3456 TITLE OF JOURNAL

    F234 A4

    KEEP 2 YEARS ONLY L76 DO NOT BIND

    Use "Do Not Bind" only for titles that will be discarded when microfilm arrives. Do not use

    Do Not Bind for shelf-life titles.

  6. Locate proper space on shelf where the call number will appear; attach shelf label to the shelf and file issues above the shelf label. If necessary, readjust surrounding journals to make room for the new title. Be sure to keep call numbers in the correct sequence.

II. TITLE CHANGES

  1. Classified librarian sends last issue of old title and first issue(s) of new title to CPR with a note:
  2. TITLE CHANGE. OLD TITLE: .Cnnnnnnn

    NEW TITLE: .Cnnnnnnn

  3. Search HELIN to find the record for each title. Determine full title and call number for each title. (Usually title changes retain the same call number as the previous title.)
  4. Verify that there is a checkin record and checkin card for the new title. Check in all issues of the new title as appropriate.
  5. Type a shelf label for the new title as in I.D. above.
  6. Go to the shelf. Pull the remaining issues of the old title, and replace with the issues of the new title. Pull old shelf label, and replace with shelf label for new title. Usually the new title replaces the old title with the same call number and shelf location.
  7. Forward all issues of the old title to Binding (Pauline C.) with a note: CEASED. TITLE CHANGE.
