PREPARING E-JOURNALS FOR CATALOGING IN
HELIN
Publishers notify URI of titles for which online access is authorized. We locate
bibliographic records for these titles in OCLC; search the Internet for the online journal
to verify the URL; enter short Bib and Checkin records in HELIN; and forward materials to
Catalog Unit. Procedures to complete these tasks are below:
A. Turn on computer and wait for logon screen. To logon, type: password in
password box.
B. OCLC.
1. At desktop screen, click on Passport for Windows icon to open connection to
OCLC.
- Under "Session" click on the open folder icon.
- At "Session open" screen, click on (highlight) PRISMcat; then click on open.
- At "Entire message of the day" screen, at the home position (upper left
corner), type search key for the e-journal title, followed by <F11>.
Use search key 3,2,2,1, algorithm, followed by /com (e.g. jou,of,bi,c/com <F11>)
Or use Scan title: sca ti [full title] /com <F11>
- Screen displays search results (1 or more titles). To view a title, type the line #
<F11>.
Press <F4> to page forward through title screens
Press <F5> to page backward through title screens.
- Check title (245 field), publisher (260 field), and URL (856 field) to verify that the
record matches the e-journal we have.
- Press <F12> to obtain a printout.
- When you finish an OCLC session, be sure to LOG OFF. Click on "Session,"
highlight and click on Exit.
C. INTERNET.
- On desktop screen, click on Netscape Navigator icon.
- At URI Libraries home page, type the URL (e-journal internet address) <enter>
- Verify that URL is correct and the title displayed matches the OCLC record. If not,
retype URL. If URL is still wrong, put title aside with a note: "wrong URL." If
the correct URL differs from the OCLC record, correct the OCLC record.
- Click on a current issue of the e-journal. Verify that the full-text is available
(not just the table of contents and abstracts.
- Return to title page of e-journal and make a printout. Attach printout to OCLC record.
