HELIN SERIALS CHECKIN
PROCEDURES
Follow procedures below to login to the HELIN system for Serials Checkin functions.
- Login
- Click on HELIN icon. Welcome to the HELIN Consortium menu displays:
Login: xxxxx <enter>

- Four questions (Checkin parameters):
* Use todays date as RECEIVED date for checkin? Yes.
- During checkin, do you want to generate claims for late issues? Yes.
- Create item records for issues checked in? No.
- All options as you want them? Yes.
II. Searching and checkin
- First search screen: What record do you want to check-in? (RETURN if done).
Type a code at the "Record" prompt to tell the computer which index to
search.
t = title (e.g. t newsweek)
a = author (e.g. a American Dental Association)
i = ISSN number (e.g. i 1234-5678)
c = call number (e.g. c QL671 N9)
.c = Checkin record # (e.g. .c1234567)
- A bibliographic record (or list of records) that match your search display. Choose the
record that most closely matches your title. Note that records for all HELIN libraries
owning the title are displayed. (See Figure A.)
- Identify records for URI Library. URI Library location codes begin riu-
rius = Current Periodical Room (CPR)
riuf = Reference Dept.
rium = Microform Room
riun = newspapers
riup = bound serial stacks
- CPR technicians checkin serials for CPR (rius) and Reference (riuf) only.
Forward riup (annuals and irregulars) to Kate. Forward riun (newspapers) to
Lorraine.
- Type line number of Checkin record for URI (URIs current checkin records usually
display first).
- Title, Call #, Location code, and Lib. Has: fields display, followed by a
"card" of Checkin boxes. (See Figure B).
- Each box displays an Issue date, transaction date, and volume & issue numbers.
Choices for checkin display below the checkin card.
- To checkin an issue, compare the issue in hand with the box with "Expected"
flashing. Make sure vol. no., issue no. and issue date agree. Then type C> CHECKIN to
check in the issue. At "Key new data. Notes------" press <enter>.
1. Copy the call number (from the call number field on screen) onto the upper right
corner of the issue.
- 2. If a Reference title, write REF Call # v. & no. on upper right corner.
3. Check the issue to see if any loose advertisements and cards are floating inside; discard
loose material. If an index or table of contents is inside, remove it,
copy call number onto upper right corner and put aside for Pauline in Binding.
- If an asterisk (*) appears in the Note field, type E [Edit Checkin record] to see
special directions for checking in a title. Type C [Checkin card] to return to card
screen.
- Place completed issues on a truck for CPR student assistants to stamp and shelve.
Deliver Reference material to the Reference Dept. office.
- Editing Checkin records
Type M [Maintenance] to alter data elements in the checkin card. Choices in Maintenance
mode include:
- Modify a boxD> Delete a boxU> Update a range of boxes
I> Insert a box R> Reset current box Z> Return to Checkin mode
- Claiming
You may enter a claim during Checkin. E.g. If you receive v.10: no.4, and the last
issue checked in is v.10: no.2, enter a claim for v.10: no.3 in the correct checkin box.
To enter a claim, follow the steps below:
M> Maintenance mode options
- Modify a box
Modify which box: [type appropriate box number]
- Write a claim letter for this box
- Choose which order number to use: [type line # for paper subscription]
U> Use this order number
Note on letter----------------- <return>
Claim is entered. Claims are sent weekly (Thursdays) to EBSCO electronically and to
other vendors on forms printed from III.
