Technician in Acquisitions
CLASS TITLE: Library Technician
DIVISION: University Libraries, Acquisitions Unit
GENERAL DESCRIPTION OF DUTIES: To perform complex searching and data entry functions
using large bibliographic databases: OCLC database and Innovative Interfaces, Inc. (III)
integrated library system in a consortial environment. To identify and export
bibliographic data to a multi-module system for acquisition of library materials
(journals, books, media, electronic resources, etc.) To perform basic accounting,
statistical and reporting functions in the Innovative system, recording expenditure of
Library materials budget in excess of $1 million per year. To serve as liaison with
publishers and vendors for resolution of problems in purchases of library materials. To
perform related duties as required.
SUPERVISION RECEIVED: Works under the general supervision of Acquisitions Librarian.
Instructions usually are given only at the beginning of an assignment of new type of work.
After initial training and instruction, work is subject to, but does not always receive,
final review.
SUPERVISION EXERCISED: May train other clerical staff and student employees in new
applications and supervise routine acquisitions work.
EXAMPLES OF WORK PERFORMED:
Ordering duties.
- Search OCLC (the worlds largest bibliographic cataloging database of over 38
million records) to verify library order requests, identify duplicates, and gather
information necessary for ordering.
- Place orders for library materials by downloading records from the OCLC database to the
HELIN database, utilizing the Cataloging and Acquisitions modules of the Innovative
system. Orders may also be placed by keying directly into Innovative when necessary. Order
using Innovatives electronic or print ordering functions.
- Use HELIN database (bibliographic database shared with five other academic libraries in
Rhode Island) to attach orders to records already in the system, identify duplicates, etc.
- Handle rush orders, standing orders, and special orders, as required.
Accounting duties.
- Approve all monograph invoices and post payments in the Innovative accounting system.
- Post all previously approved serial invoices in Innovative.
- Verify all books received on standing order. Enter records into HELIN database; approve
invoices and post payments in Innovative.
- Prepare monthly reports of appropriations, encumbrances, and expenditures for all
library fund accounts, using III accounting functions. Prepare end of year fiscal close
reports.
- Prepare manual fiscal reports as required, outside of III accounting system.
Other duties.
- Hire and train student assistants for monograph section.
- Process book returns.
- Correspond with vendors and publishers regarding questions about orders, receipts, and
payments for library materials.
- Perform miscellaneous other duties as required.
QUALIFICATIONS:
- Required
:
1. Experience with bibliographic databases and accounting functions.
- Ability to identify bibliographic data (e.g. author, title, imprint, series,
classification, etc.) using librarys computer systems.
- Ability to enter data quickly and accurately into librarys computer files.
- Ability to work well with staff, students, and library suppliers.
- Organizational skills; attention to detail; accuracy.
- Preferred
:
1. Experience with Library-specific bibliographic databases including MARC format.
- Experience with OCLC, Innovative Interfaces, and HELIN (Higher Education Library
Information Network) shared database of six Rhode Island academic libraries.
- Experience in an academic, special, or public library.
- Familiarity with bibliographic data and library procedures.
WORK SCHEDULE:
Monday Friday, 7:00 AM 3:00 PM.
