URI DISSERTATIONS/THESIS CATALOGING PROCEDURE

    1. Special Collections Unit sends the thesis/dissertation information card to the Head, Catalog Unit

2. Head , Catalog Unit distributes these cards to the catalogers by subjects

3. Catalogers bring the thesis/dissertation (archival copy) from Special Collections (arranged alphabetically by author)

4. To catalog the thesis/dissertation on-line in OCLC:

i) At the home position type: "wfm" <F11>
ii) For Masters thesis type: "acd masters both" <F11>
iii) For Ph.D. dissertation type: "acd doctors both" <F11> (the system displays a constant data workform for Master thesis or Ph.D. dissertation)
iv) Using the appropriate constant data workform (Master or Ph.D.) , catalogers will input the bibliographic data of the thesis or dissertation
v) Save the record created on the OCLC - type: "s" <F11>
vi) Print the "save" record with a no. and send the printout with a Temp. slip (L049-2) and a Reformat Form: for Masters or Ph.D. (both filled in) to the Classified Librarian
vii) Catalogers should write Call no. on the card of the Special Coll. and return that with the thesis or dissertation to the Special Collections Unit. Do not write Call no. on the archival copy of thesis or dissertation. Special Collections Unit will then send the stack copy for binding (takes approx. 2 to 4 weeks)

5. The Classified Librarian will retrieve the "save" record - hit slash and type the save no. like: "/4534" <F11> for proofreading

i) Add appropriate 949's to the "save" record
ii) Produce the record - press: "p" <F11>. The record will have an OCLC no.
iii) Add the field 710 2 from the "Thesis Reformat Form" to the OCLC record
iv) Export the record from OCLC to HELIN - Type: "xpo" <F11> and click "close"
v) Affix the lower part of the Barcode no. to the Temp. slip
(L049-2) and write OCLC no. on this slip
vi) Keep the upper part of the Barcode (don't peel off), the OCLC printout and the Temp. slip (049-2) together in a folder

6. When the bound thesis for the Stacks comes to the Cataloging Unit the Librarian will affix the bigger part of the Barcode to the last page of the thesis after checking the Call no., author and title against the printout

7. Send the thesis to Circulation Unit for shelving
