WORD PROCESSING TYPIST – MONOGRAPH ORDERS

SUPERVISION RECEIVED AND EXERCISED:

Under the supervision of the Acquisitions Librarian and Senior Word Processing Typist orders and receives library materials (books, media, digital resources) for the University Library. May supervise student employees in some aspects of receiving procedures.

DUTIES:

  1. Assist Senior Word Processing Typist in ordering books, media, and other library materials for the University Library. Download records from bibliographic utility (OCLC database) to the HELIN database using Innovative Interfaces Integrated library system (III).
  2. Process orders to suppliers via III electronic ordering system and traditional mail.
  3. Verify correct receipts and invoice charges; approve invoices for payment.
  4. Identify bibliographic information (author, title, publisher, edition, ISBN) in a variety of databases to verify book orders, identify duplicates, determine price information, etc.
  5. Handle back orders, status reports, requests for credit, and other problems concerning receipt of book orders. Records transactions in the HELIN database.
  6. Prepare shipments of approval plan books for review; create and enter order records into HELIN; return rejects, duplicates, and unwanted titles to vendor.
  7. Special projects as needed; other duties as required.

QUALIFICATIONS:

  1. Required.
  1. Ability to identify bibliographic data using library computer systems (OCLC, HELIN).
  2. Ability to enter data quickly and accurately into the Library’s computer files.
  3. Ability to work well with staff and students.
  4. Attention to detail; accuracy.
  5. Capability to handle cartons of materials, heavy bound volumes, etc.
  1. Preferred.
  1. Experience in an academic or large public library.
  2. Familiarity with bibliographic data and library procedures.
  3. Experience with library computer systems, especially OCLC and Innovative Interfaces.

WORK SCHEDULE:

Monday-Friday, 8:30 AM-4:30 PM
