#1   My listing in the campus directory is wrong. How can I get it fixed?
#2   I'm a new employee at URI. How do I get my phone number listed in the campus directory?
#3   I took over a phone that was used by someone else. I don't have the password for his/her voicemail box. How can I get it?
#4   When I leave a message for someone, they hear someone else's name before they hear my message. That person is no longer at this number. How can I get this fixed?
#5   When I call someone who has a display phone, someone else's name appears on the display. How can I get this changed?
#6   I forgot how to change my voicemail greeting.
#7   Sometimes I work in another office or conference room. I'd like to forward my phone to that phone while I'm working there. How can I do this?
#8   "Mary" covers my calls when I'm in a meeting or at lunch. Is there a way to have the calls go to her phone so she doesn't have to run over to my desk?

1. My listing in the campus directory is wrong. How can I get it fixed?

You can access your own campus directory listing on the URI Web site. Fill out all the fields completely, then submit. Changes will take effect the next business day. You may override your first and/or last name with a "nickname" (i.e., Peggy instead of Margaret) on the on-line screen. Nicknames are used only for directory display purposes and do not affect your permanent record.

You may suppress your home address from appearing on the on-line and printed directory by selecting the "suppress your home address" option when updating your campus directory information.

You need your network ID and password to access this system. If you do not know your network ID and password, call the OIS helpdesk at 874-HELP, select computing and networking, and select option 4 to speak with a consultant.

To change the following fields, you must file a personnel form with the Office of Human Resources:

  • First Name
  • Last Name
  • Department or Title (USP-2)
  • Home Address( USP-5)

2. I'm a new employee at URI. How do I get my phone number listed in the campus directory?

On the first business day after Human Resources inputs your personnel information into the system, your listing will be available for you to edit. You will need your network ID and password.

3. I took over a phone that was used by someone else. I don't have the password for his/her voicemail box. How can I get it?

Call the OIS Help Desk at 874-HELP, select telephone services/voicemail, and ask to have your voicemail box re-initialized.

4. When I leave a message for someone, they hear someone else's name before they hear my message. That person is no longer at this number. How can I get this fixed?

When I leave a message for someone, they hear my greeting before they hear my message. How can I get this fixed?

The pre-amble message that is announced before a listener hears your message is the name recording of your voicemail box. To record your name:

  • Log into your voicemail box
  • At the ready prompt, dial 1-6-8
  • Record your name
  • Press #
  • Dial 9-9 to log off

5. When I call someone who has a display phone, someone else's name appears on the display. How can I get this changed?

Call the Help Desk at 874-HELP and select telephone features. Ask to have your display name changed. If you get voicemail, please be sure to leave your phone number and the exact spelling of your name, up to 15 characters including spaces.

6. I forgot how to change my voicemail greeting.

  • Log into your voicemail box
  • At the ready prompt dial 4-6
  • Record your greeting
  • Press #
  • Dial 9-9 to log off

7. Sometimes I work in another office or conference room. I'd like to forward my phone to that phone while I'm working there. How can I do this?

You can program your phone to call-forward all calls to another phone. If your phone does not have a call forward button:

  • Lift the handset
  • Dial *2
  • Dial the 5-digit extension

All calls will forward to the other phone until you cancel call-forwarding. To cancel, lift the handset and dial #2.

Note: If the destination phone forwards to the voicemail system, the caller will be sent to your voicemail.

If your phone has a call-forward button:

  • Press the Call Forward button
  • Dial the 5-digit extension
  • Press the Call Forward button

All calls will forward to the other phone until you cancel call-forwarding. To cancel, press the Call Forward button.

Note: If the destination phone forwards to the voicemail system, the caller will be sent to your voicemail.

8. "Mary" covers my calls when I'm in a meeting or at lunch. Is there a way to have the calls go toher phone so she doesn't have to run over to my desk?

You can have us program a call pick-up group. When "Mary" or anyone in the group hears a phone ringing, they dial *7 and pick up the call. Call the Help Desk at 874-HELP and select telephone/telephone features. Ask to have a call pickup group assigned and give us all the numbers to include in the group. Note: There is a one-time $10 charge to add this feature.

If "Mary" has a digital phone, she can see your line as a ringing or non-ringing appearance. Call the Help Desk and ask us to assign your phone line as a MADN on her phone and specify to which empty button we should assign it. Note: This features is called a MADN and carries a $4/month charge.

If "Mary" is in a different location, you can use the MADN feature above or call-forward your call to her at specified times (see FAQ #7).

9. I'd like to have my secretary (or co-worker) pick up urgent calls that go to my voicemail.

  • Log into your voicemail box
  • At the ready prompt, dial 1-6-5
  • Enter the 5-digit extension of the party who will answer your calls
  • Change your voicemail greeting (see FAQ #6). Include a statement such as "If your call is urgent, please dia l 0 to reach XXXX".
  • Dial 9-9 to log off

Notify the person who will be getting your calls. Calls are transferred with a pre-amble message (a series of clicks) and then "this call is being transferred from "your name". Make sure they don't hang up on the call thinking it is a FAX machine or automated telemarketer.

10. I'm going on vacation (sabbatical, etc.) and I don't want callers to leave messages.

You may set you voicemail box to "Extended Absence Greeting". Callers will not be able to leave a message, so you should include an alternate number in your greeting.

  • Log into your voicemail box
  • At the ready prompt press 4-7
  • Record greeting
  • Press #
  • Dial 9-9 to log off

To return to normal operation:

  • Log into your mailbox
  • At the ready prompt press 4-2
  • Press 4-6
  • Record new greeting
  • Press #
  • Dial 9-9 to log off

11. Sometimes I'd like to send the same voicemail message to more than one person. Is there a way to do it without recording the message multiple times?

  • Log into your voicemail box
  • At the ready prompt press 6
  • Record the message
  • Press #
  • Dial the 5-digit extension(s) to which you want the message to go. The system will allow you to enter up to 10 voicemail box numbers.
  • Press #
  • Press # to confirm
  • Dial 9-9 to log off

12. Sometimes when I get a voicemail message, I'd like to forward it to someone else in my group but I don't know how.

When you are listening or just finished listening to the message:

  • Dial 1-3
  • Record a message to precede the forwarded message
  • Press #
  • Dial the 5-digit extension(s) to which you want the message to go
  • Press #
  • Press # to confirm

13. Sometimes when I get a message, I'd like to reply to the person who sent it but I don't know how.

When you are finished listening to the message:

  • Dial 1-7
  • Record your reply message
  • Press #
  • Press # again to confirm

Note: This feature works only if the person called from their own line or sent the message from within their voicemail box.

14. Sometimes when I get a message, I'd like to speak with that person right away. Is there a way to call the person back without looking up their number?

When you have finished listening to the message, dial 1-4. Check your voicemail again; you may still have messages you haven't listened to in your voicemail box even though your message light is off.

Note: This feature works only if the person called from their own line or sent the message from within their voicemail box.

15. Is there a way for me to transfer a caller to someone else?

Is there a way to do a three-way call?

Ask the caller to hold a moment while you transfer (add-on) the call. If your phone does not have a conference/transfer button:

  • Depress the switchhook or link button
  • Dial party to transfer to (or add-on)
  • Confer with added party privately
  • Depress switchhook or link button to add in first party
  • Remain in 3-way conversation or hang up to transfer caller

If your phone has a transfer button:

  • Depress the conference transfer button
  • Dial party to transfer to (or add-on)
  • Confer with added party privately
  • Depress conference transfer button to add in first party
  • Remain in 3-way conversation or hang up to transfer caller
